WooCommerce - We can load the "cart" as a retail express quote for payment in store!

Modified on Thu, 2 Jul at 5:04 PM

To make the quote sync directly to Retail Express as a standard order without taking payment, you need to use a Custom Payment Gateway that acts as a "Submit Quote" or "Pay In-Store" button.
This processes the transaction as a real WooCommerce order (status: Processing or Pending Payment), which triggers your TranslatorHQ integration automatically.
Step-by-Step Configuration
1. Create a "Quote Only" Payment Gateway
Instead of a quotation plugin, use WooCommerce’s built-in Cash on Delivery (COD) or Cheque method and rename it.
  • Go to WooCommerce > Settings > Payments. [1]
  • Enable Cash on Delivery or Cheque.
  • Click Manage and change the settings:
    • Title: Change to Submit Order for Quote or Pay Upon Pickup.
    • Description: Change to No payment is taken now. Your order will be sent to our system, and we will confirm final pricing for your in-store pickup.
2. Restrict the Gateway to Local Pickup Only
Ensure this payment option only appears when the customer selects Local Pickup.
  • In the Cash on Delivery settings page, look for the Enable for shipping methods dropdown.
  • Select your Local Pickup zone method.
  • Save changes. (If you used the Cheque method instead, you will need a free plugin like Conditional Payments for WooCommerce to restrict it to Local Pickup).
3. Disable All Other Payment Gateways
  • Go back to WooCommerce > Settings > Payments.
  • Turn off Stripe, PayPal, or any other credit card gateways so customers cannot pay online.
4. Adjust Order Status for Retail Express Sync
Most ERP integrations look for a specific WooCommerce status (usually Processing) to pull the order.
  • If using renamed COD, the order will default to Processing, triggering an immediate ERP sync.

5. Contact TranslatorHQ to enable the "Quote Only" Option

The New Workflow

  1. The customer adds items to the cart and goes to checkout.
  2. They select Local Pickup or Shop in Store

  3. The only available payment method is your renamed "Submit Order for Pickup and Pay in store" button.

  4. They click "Place Order."
  5. WooCommerce creates a live order, THQ Connector instantly pulls it, and no money is charged. In retail Express we create / attach the customer and pull it through as a quote.

  6. You can then look to pick the products if you know them or wait for them to arrive in store and adjust as needed add products etc.
